What to tell guests at a destination wedding
The practical information destination and multi-day wedding guests need — where to stay, how to arrive, whom to call, what to wear — and where each piece belongs.

Travelling guests ask the same four questions: where do we stay, how do we get there, whom do we call, and what do we wear. Answer all four once, in the invitation itself, and you remove most of the calls and messages the family would otherwise field in the final week.
1. Where to stay
Name the hotel or hotels, with the address and a map link. If you have blocked rooms, say how to claim them — “rooms held under the Sharma family until 1 November” — and whether the family is hosting or guests book themselves. Ambiguity about who pays is the most awkward conversation of any destination wedding, and one clear line on the invitation prevents it.
2. How to get there
Give the nearest airport and railway station, the rough travel time to the venue, and whether the family is arranging pickups. If cars will meet flights, say which dates. For a venue outside a city — a palace hotel, a hill-station resort — add any road or parking notes guests couldn't guess.
3. Whom to call
One or two named people, with a role: “Rohit — travel and stay”. Not the couple, who will be unreachable, and not a parent, who will be overwhelmed. Guests use this number more than any other line on the invitation, so choose someone who will pick up.
4. What to wear
Put the dress code on each ceremony, not in one paragraph at the end — a haldi, a sangeet and a reception rarely share one. Mention anything the venue or weather makes necessary: comfortable shoes for a lawn, layers for a hill station in December.
Where each piece belongs
Dates and the city go on the save the date, so guests can book travel early. Everything above goes on the invitation, which guests keep open throughout the trip. On our invitation websites there is a “Stay & travel” section after the ceremonies for exactly this: places to stay with map links, arrival notes, and contacts guests can call or message on WhatsApp with one tap.
Quick answers
How early should destination guests hear the date?
Eight to twelve months ahead — see when to send save the dates.
Should the RSVP ask about accommodation?
Yes, if you are arranging rooms. Ask which nights they need, and tell them where they would stay in the same place, so the answer means something.
